How to Create a Marketing Budget and KPI Tracker with Ottermind

After approving a launch strategy, use a tracker to organize channels, budgets, owners, and progress. Give Ottermind the confirmed plan and define the fields and metrics before generating the spreadsheet. This tutorial covers structure, prompts, calculation checks, and updates so the table supports execution and review.
Separate plans from results
Keep budgets separate from spending and targets separate from actual outcomes. Include owners, dates, status, sources, and update times so the team can trace changes.
1. Prepare the launch plan
Collect channels, owners, dates, budget ranges, and goals. Mark unknown information as unconfirmed rather than inventing numbers to fill cells. Define conversion: registration, appointment, and payment are different measures and should not be compared as if identical.
2. Design the tracker
| Fields | Purpose |
|---|---|
| Channel and activity | Identify the work |
| Owner and planned date | Assign responsibility and timing |
| Budget and actual spending | Compare allocation with cost |
| Metric, target, and actual value | Separate expectations from results |
| Status, risk, and next action | Support team follow-up |
| Source and update time | Make data traceable |
Keep the first version practical. Add groupings or dashboards only when execution and review require them.
3. Generate the spreadsheet
Create a launch tracker from the attached strategy. Include channel, activity, owner, date, planned budget, actual spending, metric, target, actual result, status, risk, and next action. Leave unknown values blank. Separate plans from actuals, define each metric, and explain any formulas. Handle blanks and zero values without misleading results.Inspect the structure before adding more data. If exporting, specify the format and open the file to check its presentation.
4. Check formulas and definitions
Manually check a sample of budget totals. For ratios, verify numerator, denominator, and period. Cost per registration differs from cost per paying customer. An unset target should not display a normal completion rate. Compare formula explanations with actual cells, and recheck after corrections.
5. Update and review weekly
Record source and update time alongside actual spending and outcomes. Before a meeting, ask Ottermind to summarize overspending, delays, and large target gaps with evidence. Preserve final data and review notes so the next launch can use actual experience rather than starting every estimate from scratch.
